Geotab users with the correct permissions can set up rules for exceptions in Geotab that send notifications whenever their drivers meet certain conditions such as excessive speed, harsh cornering or breaking, or even a defective DVIR being submitted.


You can access these rules by going to the “Rules & Groups” tab in the sidebar of your MyGeotab account, then clicking on “Rules.”

To add a rule, you can click on the “Add” button at the top of the page.


 

There are 3 tabs that you can edit when making a custom rule:

  • Name: Allows you to name and change the display color of the rule, as well as set the groups that the rule is applied to.  
  • Conditions: Allows you to add conditions to your rule. Geotab has a lot of options already built into it that really allow you to make the rule exactly what you need it to be.
  • Notifications: Allows you to set who to notify when the conditions of the rule have been met, whether it’s dispatch, the driver, or a company group. Also allows you to set how the user is notified, like with an email or a GO9 device in the cab.

Once you have set up the name, conditions, and notifications for your rule and saved it, your rule can be found under the “Advanced” section of your “Rules” tab.

Common Requests

Adding a new user to the rule

If you need to add a new user to the rule to be notified whenever the conditions of the rule have been met, you’ll want to navigate to the rule by going to “Rules & Groups”, then opening the “Rules” section. You’ll find your custom rules under the “Advanced” section, at the bottom of the page. You can click on your rule to open it.


To add someone to the notifications, you’ll need to open the “Notifications” tab.


 

Click on “Add email” in the “Notifications” tab and you’ll be able to put in the email address that you want the alerts sent to.


 

You will have to add the user by selecting them from the dropdown menu. If you just put the email you want to add in the line and don't actually select it from the dropdown list, the user won't actually receive any of the notifications from the exceptions.



 


Modifying conditions in an existing rule

If you want to modify the conditions in an existing rule, you’ll want to navigate to the rule by going to “Rules & Groups”, then opening the “Rules” section. You’ll find your custom rules under the “Advanced” section, at the bottom of the page. You can click on your rule to open it.


To modify an existing rule, you'll want to go to the "Conditions" tab.


 

Here you can delete the existing rule, add additional conditions to it, or make any other changes to it by using the Geotab provided editing tools.


Limiting the rule to a certain group

If you want to limit the rules to only be applied to certain groups already established within Geotab, like specific terminals, you’ll want to navigate to the rule by going to “Rules & Groups”, then opening the “Rules” section. You’ll find your custom rules under the “Advanced” section, at the bottom of the page. You can click on your rule to open it.


To assign a certain group to a custom rule, you'll want to navigate to the “Name” tab, then select the group from the “Select groups…” drop down menu. If you need to make the group, you can read the associated Geotab article here.
